The checklist I use before sending any quote
Some purchasing questions have one clean answer. Most don’t. I’ve been handling B2B metal parts orders for eight years—stamping, progressive dies, CNC machining, forgings, and aluminum extrusions—and the most expensive lessons I’ve learned did not come from tight tolerances. They came from assuming that the name on a request was the same as the part on the drawing.
Take “Bilstein suspension systems.” That phrase is useful on a website. On a purchase order, it’s dangerously incomplete. A customer can ask for “Bilstein B4 installed suspension” and mean a set of dampers, a hardware kit, a service operation, or the mounting brackets around a shock. One of those interpretations is a $3,000 order; another is a $7,600 scrap bin. The difference usually hides in details like ride height, mounting hole spacing, and OEM part number.
Why I care: a mistake I still check for
In 2021, I approved a quote for “Bilstein B4 installed suspension, front, 6 units.” We don’t make complete shock absorbers, so I assumed the customer needed mounting plates and fasteners for a stock vehicle. I approved the job and we shipped. When the customer tried to install the first unit, the lower bolt holes didn’t line up. The vehicle had a factory heavy-duty ride package. The bracket spacing was 4 millimeters different from the standard version.
Six units had to be re-cut. The rush setup cost real money, and the schedule delay was worse. That’s when I stopped quoting by product name.
When I compared our quote log from 2022 and 2023 side by side, the pattern was not subtle: orders with a VIN, photo, or OEM number had a rejection rate roughly one-third of orders with only a product name. So now I use a checklist before I send anything to the shop floor.

I group ambiguous suspension requests into three scenarios.
Scenario A: The buyer is replacing a worn factory suspension. They want an OE-style ride, not a lowered or lifted setup. In that case, a “Bilstein B4 installed suspension” request usually means B4 dampers plus the small metal parts around them—mounts, brackets, bolts. The critical question is whether the vehicle is still at factory ride height. The B4 is widely treated as an OE-replacement damper, so if the truck or car has lowering springs or spacers, I won’t pretend to select the right damper family from memory. I ask.
Scenario B: The vehicle already has Bilstein suspension systems installed. The phrase “installed suspension” might describe the current state, not an order for installation labor. The customer may just need a bushing, a bracket, or a replacement hard part. But they might not know the exact part name. The answer is the same: send the VIN, send a photo, and tell me what symptom you’re solving.
Scenario C: The buyer is quoting from a catalog or an online cart. They type what they see: “Bilstein B4 installed suspension.” The system thinks it knows what they want. We don’t. My job is to ask whether the request includes the damper, the installation hardware, or the complete system. This is the scenario that caused my 2021 mistake.
To be clear, I’m not criticizing any damper manufacturer. I’m pointing at the gap between a search phrase and a machinable spec. That gap is where rework lives.
Ryobi universal water pump: “Universal” doesn’t mean one number
The same gap appears with “Ryobi universal water pump.” The word universal sounds helpful. It suggests that one pump fits many machines. And to some extent, that’s true—universal products exist for a reason.
But universal usually refers to the hose threads or the standard mounting pattern. It doesn’t necessarily cover pump shaft diameter, inlet orientation, flow direction, or the adapter a particular application needs. In our shop, we machine pump shafts and adapters. When a customer sends a request for a “Ryobi universal water pump,” I still need the pump model, the old part number, or the shaft dimensions. Otherwise I’m choosing a tolerance stack based on hope.
This is one of those cases where a supplier who says “we don’t make complete water pumps” can be more useful than one who silently quotes the wrong part. A few years ago, I told a customer that we weren’t the right source for the full pump assembly, but we could supply the adapter. I assumed that would end the conversation. Instead, he called back two months later with a bracket order. Clear boundaries built more trust than a fake yes.
AR piston system: Two letters can send the quote down the wrong path
“AR piston system” is another phrase I won’t quote from memory. It might mean an AR-style gas piston conversion, or it might mean an air-piston style actuator assembly. Those parts have different materials, different surface treatments, and different tolerance expectations.
One might be a forged gas block with a machined piston rod. The other might be a precision aluminum cylinder with bearing surfaces. Both are legitimate metal parts. Both can be made in our facility. But neither should be quoted from the abbreviation alone.
If I see “AR piston system” on an RFQ, my first response is not a price. It’s a short question: “When you write AR, what product family are you referencing?” That question feels basic, which is exactly why it prevents expensive assumptions.
Contactor vs motor starter: This one is about function
Of these examples, “contactor vs motor starter” is the cleanest comparison, because the difference is functional.
A contactor is a component. It’s a relay-like switch that controls power to a load. A motor starter is a bigger idea: it normally includes a contactor plus overload protection, and sometimes a disconnect. If someone asks for a motor starter, a bare contactor is not enough. If someone only needs to replace a worn contactor, a full motor starter may be more equipment than the panel is designed for.
The phrase sounds like a simple A/B choice. In practice, it depends on whether the motor needs overload protection and whether the existing panel already has it. That is a situation-based answer, not a one-size-fits-all product recommendation.
Which scenario are you in?
After all those mistakes, I now use three questions to decide how much specification work is needed.
First: Is this a product name or a system name? “Bilstein suspension systems” is a system name. “Bilstein B4 installed suspension” is a description of a job, not a bill of materials. System names need more structure before they become purchase orders.
Second: Does the phrase contain “universal,” “system,” or an acronym? Those words usually compress a lot of variation. A “Ryobi universal water pump” needs a model number. An “AR piston system” needs a product family. The sign of a good spec is that someone who has never heard of the product can still build it.
Third: Am I asking for a component or a function? In the contactor vs motor starter comparison, the component may not deliver the function. The same logic applies to suspension brackets, pump adapters, and gas piston systems. If I ask “what must this part do when it fails?” I get better information than if I just repeat the customer’s search phrase.
The checklist I use before sending any quote

- Vehicle VIN or equipment model number, not just a brand name
- OEM part number or original part photo
- Whether the vehicle or machine is factory spec or modified
- Whether the request is for one component, a kit, or a complete system
- Required material and finish, if known
That list doesn’t stop every mistake. It stops the expensive kind of mistake where one person believes a name is enough and the next person believes it too.
